Garden Steering Committee Meeting Minutes

June 7, 2021

 

What is needed for a quorum for the steering committee?

 

Transition from Brad as lead gardener

            Notes from May garden meeting:

a.      Idea that Steering Committee has access to a shared Drive including use agreements, history, finances

i.Paper copies for people who don’t use computers as much

ii.Are people comfortable with sharing their information?

b.     Goal is that not just one person is taking on everything, Steering Committee shares tasks

                                                                   i.          Continuity is key

            Discussion tonight:

      Emry’s Idea:

      Nuts and bolts: what Brad has covered in the past, bookkeeping, administrative tasks

      Plot map, list of gardeners

      Bigger picture: How garden operates, how to address issues

      Community organizing aspects of garden (figuring out bigger questions and participatory and democratic stuff), making it approachable, neighborly

      Figure out process, replacing duties and tasks Brad does

      Look at standing processes, standing bylaws etc.

      EQUITABLE ENGAGEMENT

      Gabe’s idea: Brad stays involved a little longer, so new people can get onboarded, then Brad steps back and new people take over

      Push out notes in condensed version to gardeners

      Emrys wants to avoid Steering Committee making big decisions and just passing them out

      Some people don’t want to be involved in decision making, some do

      Emrys is interested in having a paid community organizer position for garden - EQUITABLE ENGAGEMENT

      Help to facilitate, bring resources to help with engagement

 

Make a side by side list of Brad’s tasks, Steering Committee strengths and willingness to do taks, as well as volunteers

       I.e. mowing boulevard (not in garden)

 

How to do outreach

       In person garden meeting

       Food, ask people their ideas about restructuring garden

       See who consents to having their contact information shared?

       Allows for better communication

       Privacy concern about access to personal information

       We need translators

 

Tax Exemption

       EPIC has been notified that we will be working on this

       EPIC board has delegated this to Sarah to work on with Gabe if he’s still interested

       County needs Bylaws and incorporation (charter for nonprofit)

       Gabe will reach out to county to get more information

       Outreach

       Steering committee will reach out to unplanted plots

       Maintenance

       Do we have a waitlist?

 

Set up work days

       ongoing work days

       send out when2meet - what is top priority?

       paths? Shed? Compost area? Other?

       To do: saw down tree, hose

       Work days

       How to pay plot fee and return garden agreement

       Garden transition/organization discussion

       Communication - See who consents to having their contact information shared?

       Allows for better communication

       Put in agreement going forward

       Interim gatherings - interest?
